Meeting Minutes
9/5/2008

Present:  Co-Chairman Barbara Cooper, Donna Gazelle and ex officio Fred Gallup

Announcements:
Donna Gazelle brought the meeting to order at 5:00 o’clock pm at the Town Hall Meeting Room in Sunapee.  Donna Gazelle gave a brief history and description of the BOC (Beautification Oversight Committee) and the BC (Beautification Committee) and introduced Fred Gallup to those in attendance.

Fred Gallup BOS (Board of Selectmen) explained his position as ex officio member of the BOC.

It was noted that the last meeting of the BOC is included in the July 14th minutes of the BOS meeting, no minutes were read.

Financial Report:  
Per the Town Accounting Records – balance available is $11,858.12

Actions:
BOC Co-Chairmen summarized the projects, workdays and approximate volunteer hours spent so far this year on gardening accomplishments.  Some items included are Harbor cleanup, pruning shrubs and trees, mulching, Harbor Bridge Boxes, coordinating paving of the bandstand walkway, 4th of July Parade participation and more including over 530 volunteer hours.

Garden Award Winners this year included Sunapee Harbor Cottages, Sunapee Historical Society, NorthCape Designs, Sugar River Savings Bank and Lake Sunapee Bank.

Unfinished Business:
Porter Paving is planning to complete the walkway paving this fall by applying the bluestone chip coating.

A birch tree has been donated and will be planted later this month to replace the original tree that was removed after 25 years.

New Business:
Fall garden cleanup has been scheduled for October 17th and a rain date of Oct. 24th

The historic hydrangeas will be replanted in the Harbor this fall on a workday to be determined.

Budget Approval:
Porter Paving - $3000. due upon completion of project
Neal Tree Service - $1000. for deep root feeding of trees
Birch tree replacement – not to exceed $500.
Autumn planting of bridge boxes & bandstand – not to exceed $200.
Chowderfest participation – not to exceed $100.
Sunapee Holiday Festival and decorating – not to exceed $500.
Cost of granite bench and plaque – $800. donation
Kearsarge Shopper Ad - $78.15

A motion was made to enter the line items as read.  The motion was seconded and all were in favor of the expenditures.

Donna Gazelle made a motion to accept the resignation of Robin Pollard and commented that Robin will continue to serve on the BC and that the BOC will now seek a third member as her replacement.

Fred named the individuals that have submitted volunteer applications that are interested in the position and stated that they would be interviewed at the next meeting.

The next meeting will be posted to commence at 5:00 pm on September 18th at the Town Office Meeting Room.

The meeting adjourned at 5:20 pm.
